Who we are
AawazAI is operated by GenCrafter Technologies Private Limited ("we"). For any question, request or grievance about your data, write to admin@aawazai.com or call +91 95911 19501.
What we collect
- Account: your phone number (used for one-time-code login), your name, and an email address if you add one. For a CA practice, the practice name and the clients you add (name, GSTIN, optional contact details).
- Business details: business name, address, state and district (needed for GST place of supply), GSTINs you add.
- Business records: the sales, purchases, expenses, udhaar, invoices, products, parties and reports you create in the app.
- Voice, images and documents: voice notes you record, and photos of bills, PDFs, bank statements and accounting exports you upload, for transcription and extraction.
- GST portal data: in the CA workspace, GSTR-2B and related data fetched from GSTN for a client, using the credentials you provide, and the ARN returned when you file.
- Diagnostics: logs we keep for security and troubleshooting. When something fails on our servers, a technical error report may go to our error-monitoring provider, with request contents, cookies and user details removed first.
- Usage analytics, only if you turn it on: with "Help improve AawazAI" switched on in the app (Settings, Data & privacy; off by default, and your choice is kept in our consent log), the app loads Google Analytics and shares which screens you open (the screen's address only, never a search you typed, a name or an amount) and how fast they load. Advertising signals stay off. Turn it off in the same place at any time.
- Payment details: the bank account, IFSC and UPI ID you add to print on your bills or to receive referral rewards.
We don't collect your location, contacts, SMS or call logs. You pay in the checkout of Cashfree Payments, so your full card number, CVV and UPI PIN never reach us; we keep each payment's reference, amount and status, and what Cashfree reports back about it, such as the payment method used.
How we use it
To provide the service: to understand what you said, keep your books, make your invoices, prepare your GST summaries and answer your questions. Voice notes are sent to a speech provider (Sarvam AI, or self-hosted AI4Bharat models) for transcription. Bill images are processed to extract line items. We don't sell your data and don't use it for third-party advertising.
Windows app and offline copies
AawazAI for Windows opens app.aawazai.com in its own window. It keeps no books of its own: your books stay on our servers, just as they do in a browser. On the PC itself it remembers only the window size and the printers you choose.
So that you can look at your books with no signal, the app (in a browser or on Windows) keeps a read copy on your device: your parties with their balances, your items with stock and rates, the last 90 days of bills, receipts and payments, and the dashboard, each marked with the time it was last updated. The copy is kept separately for each business, person and GSTIN, is shown only to the person who was signed in, and is wiped when you log out, when someone else signs in on that device, or when you switch business. Sign-in tokens are never kept in it.
Bills, payments, expenses and khata entries you confirm while offline wait on the device and are sent when the connection is back; a bill gets its number from our server at that point, never on the device. Bills you have started but not saved are kept on the device as drafts. Logging out removes both; if your session only expires, they wait for you alone.
- Microphone and camera: used only when you press the mic, or open the camera to scan a bill or a QR code. You can turn either off for AawazAI in Windows Settings, Privacy & security.
- Other permissions: besides the microphone and camera, the app allows only notifications and copying to the clipboard, and refuses everything else, such as your location. Links outside AawazAI, including Google sign-in for Drive, open in your usual browser.
- Printing: a bill goes to the printer you choose on that PC. Your printer choice stays on the PC.
- Updates: the Microsoft Store version is updated by the Store. The version downloaded from our website checks a public release page on GitHub every few hours for a newer version; that check carries no account or business data, only what any download carries, such as your IP address.
- Tally sync, only if you switch it on: the Windows app installs the AawazAI Tally Agent on that PC, after Windows asks for administrator permission. The agent connects to Tally on that PC and to AawazAI, to list your Tally companies and ledgers, bring your Tally books in when you ask, and send entries confirmed in AawazAI to Tally. It writes into Tally only after someone at that PC ticks "Allow AawazAI to post entries" in the agent.
Who else processes it
- Speech recognition: Sarvam AI. Self-hosted AI4Bharat models may be used as a fallback.
- Language understanding: a configured large-language-model provider, which receives the text of your messages and never your payment details.
- Messaging: Meta (WhatsApp) for one-time codes and invoice delivery on WhatsApp.
- Payments: Cashfree Payments for CA plans, top-ups and the monthly pack, and for referral payouts.
- Error monitoring: an error-monitoring provider receives the scrubbed server error reports described above.
- Google, only for what you turn on in the app: Google Analytics if you switch on "Help improve AawazAI", and Google Drive if you connect it.
- GST network: GSTN, through an authorised GST Suvidha Provider, when a CA fetches GSTR-2B or files a return.
Some of these providers, such as the language-model provider and error monitoring, may process your data outside India. The DPDPA allows this, except to a country the Government of India has restricted (section 16). The current list of processors and what each handles is available on request.
Your rights
Under the Digital Personal Data Protection Act, 2023 you may access, correct, export and erase your personal data. In the app, Settings lets you export everything you've recorded and delete your account and data. Usage analytics and Google Drive stay off until you turn them on in Settings, Data & privacy, and you can turn either off there at any time. Business records that the law requires a taxpayer to retain remain your responsibility to keep after export.
Security and retention
Data is encrypted in transit, and stored credentials and GST-portal sessions are encrypted in the database. Each business is isolated in its own database schema. Login uses one-time codes and short-lived sessions. We keep your data while your account is active and delete it when you delete your account, except where retention is required by law. See the trust page for more.
Analytics on this website
This website, aawazai.com, uses Google Analytics only after you tap Accept in the cookie notice. Until then nothing is loaded from Google Analytics and no analytics cookies are set. If you accept, Google Analytics sets its cookies (_ga) and records the pages you visit, the buttons you tap, your device and browser type and a rough location that Google works out from your IP address. Google signals and advertising stay off. We use it only to see which pages help, and Google, as our provider, may process it outside India. Your choice is kept in your browser on this device; change it any time from Cookie settings at the bottom of every page, and Decline also removes the analytics cookies. Pages also load fonts from Google Fonts and video thumbnails from YouTube, which set no cookies. The app asks you separately, in its own settings.
Changes
If this policy changes materially, we'll say so in the app and on this page, with the date above updated.
