Using AawazAI

Tally data entry without retyping: from a bill or a bank line to a Tally voucher

Your accountant lives in Tally and is not going to change. That is fine. The waste is not Tally, it is typing the same bill into it that someone already read, checked and confirmed somewhere else. This is how AawazAI hands entries to Tally once, and where it deliberately stops.

About availability. Tally sync is available in AawazAI today. Open Settings, then Connectors, and connect Tally. Screens can change between releases. All names and amounts here are made up.

The short version

  • The idea: capture and confirm an entry once in AawazAI, from a bill photo, a bank line or a sentence, and it flows into your Tally company as a voucher.
  • The flow is one way, AawazAI to Tally. The rule is plain: make entries in AawazAI, not directly in Tally. A nightly check flags entries typed in Tally.
  • Nothing is sent until the ledgers are matched. A ledger with an unconfirmed mapping is never sent, and an entry is never sent twice.
  • You choose automatic sending or review first, and a failed entry waits under Needs attention instead of vanishing.
  • It sends accounting vouchers, not inventory lines, and receipts arrive On Account. Your accountant's bill-matching in Tally stays their step.

Where the retyping happens

In many offices the sequence is the same. A bill arrives. Someone reads it, enters it in a billing app or a sheet, and someone else enters it again in Tally for the CA. The bank statement is typed the same way. Each copy is a chance for a one-digit error, and the two copies never quite agree at year end.

AawazAI changes the middle of that. The bill is read from a photo, checked and confirmed, and the bank lines are proved and booked. The entry that results is sent to Tally. Nobody retypes it. For when Tally is the right tool on its own, we have been straight about it in Tally or a phone app.

Connecting Tally

Tally runs on a Windows PC, so the connection runs through AawazAI for Windows, which you install on that PC from the Microsoft Store (version 0.3.0 or later, kept updated by the Store). In Settings, Tally the steps are:

  1. Connect. Choose your Tally (TallyPrime or Tally.ERP 9). Either open the Windows app on that PC and click Connect, or keep working in the browser, get a pairing code, and type it into the Windows app. The code expires.
  2. Allow posting. A tick in the Tally Agent on that PC, "Allow AawazAI to post entries", must be on. It is your consent, given where Tally lives, and the app shows when it is turned on or off.
  3. Choose the company and the date to send entries from. Keep Tally open with the company loaded.
  4. Opening check. The app compares ledger balances with Tally as of that date, and shows a table of AawazAI against Tally with the difference. If they match, it says so. If not, you fix the books or accept the differences knowingly; the ledgers will then stay different in Tally until your CA corrects them.
  5. Ledgers. The mapping step, below.
  6. Start sending. It tells you how many earlier entries, between which dates, will go first.

A business with several GSTINs or a new company each financial year can hold several connections, and each entry goes to exactly one. At year end you pick the new Tally company and the date to send from.

Matching ledgers

This is the step that decides whether the accountant trusts the result. In Tally, "CGST", "CGST Output" and "Output CGST" are three different ledgers. So each AawazAI ledger is shown next to the Tally ledger it will post to, with the Tally group, and you confirm each one. A ledger with no match is created in Tally under our name, and a mapping you have not confirmed is never sent. You can also change a mapping from chat. Party ledgers are one per GSTIN, so two parties with the same name but different GSTINs are not merged.

What gets sent

Every journal voucher AawazAI posts is queued with the posting, in the same transaction, so a voucher cannot be booked without its Tally row and a rolled-back posting takes its row with it. Entries go in date order, one voucher at a time, and ledgers the voucher needs go ahead of it.

You pick the mode. Automatic sends every entry you save. Review first holds entries as "Waiting for review" until you tick them and send, which suits a CA who wants to see each one. The status chips read Sent, Waiting, Needs attention and Skipped.

Party ledgers are created with bill-wise details on, so Tally's outstanding and ageing reports work. An invoice opens a bill under its own number (a new reference); the reversal of one settles the same bill. A sample: Sale to Northstar Engineering, ₹4,85,000 plus ₹87,300 IGST, goes as a voucher with the party ledger and the output IGST ledger you mapped, for ₹5,72,300.

Why it does not duplicate

  • Each voucher has one stable identity in Tally, built from your business, the Tally company and the entry. A disconnect and a reconnect to the same company resends the same voucher, and the agent's pre-check answers "reused".
  • An entry that Tally or the connector refuses on its content (an unbalanced voucher, an unknown voucher type) goes straight to Needs attention. It is never retried silently.
  • Connection trouble (the PC is off, consent is off, a master is missing) backs off and retries, then moves to Needs attention too.
  • If an entry was in flight when you disconnected, it is marked unknown, "Not known if Tally got it", never counted as sent. A resend is checked against Tally first.
  • Undoing a settlement goes to Tally as a cancel of that voucher, not as a mirror entry, and settlements are sent only while their own switch is on.

The nightly check compares the two sides and says either "Tally matches AawazAI" or which ledgers differ because Tally was changed outside AawazAI.

The honest limits

  • One way. AawazAI to Tally. Entries typed directly in Tally do not come back, and the nightly check flags them. This is why the rule is "make entries in AawazAI".
  • Accounting vouchers only. There are no inventory lines yet. Stock movements go to a "Stock in Hand (AawazAI)" ledger under Current Assets, because Tally's own Stock-in-Hand ledger takes no vouchers.
  • GST lines yes, party GSTIN and place of supply no. The tax ledgers are sent; the party's GSTIN and place of supply are not carried onto the voucher.
  • Receipts are On Account. The journal does not say which bill a payment settles, so Tally shows the receipt as On Account and matching it to the bill stays your accountant's step in Tally.
  • The PC has to be on with Tally open and the company loaded, or entries wait.
  • Only the owner sets up and runs the sync.

AawazAI does not file your GST. Whatever your CA needs from Tally, they still file themselves.

Bringing Tally data in

The other direction is a one-off. From a connected company, "Import everything from this Tally company" opens the usual import preview, nothing is saved until you confirm, and you can undo it. Without the connector you can send the Masters and the Day Book as XML. The balances are Tally's opening balances plus the entries in that Day Book, so if your Tally books began earlier than the export, export from the day they began or the totals will not match. Cancelled, optional and order entries are left out, as Tally leaves them out of balances. More on moving over in switching software mid-year and the setup guide.

If you miss the keyboard

On a laptop, Settings has a "Tally keys" switch, off by default: F4 Contra, F5 Payment, F6 Receipt, F7 Journal, F8 Sales, F9 Purchase, Ctrl+F8 Credit note, Ctrl+F9 Debit note, and F2 for the date. They never fire while you are typing in a field or with a sheet open, so F5 in a form is still the browser's reload. Importing Tally or Bahi-Khata books switches them on for a person who never chose either way.

Capture once, keep Tally for your accountant

Install AawazAI for Windows on the Tally PC, then open Settings, Tally and read the opening check before anything is sent.

Frequently asked questions

Can I send AawazAI entries to Tally automatically?

Yes, through Tally sync, which runs through AawazAI for Windows on the PC where Tally runs. You can choose automatic sending or review first. It is in the app today: open Settings, then Connectors, and connect Tally.

Does Tally sync send inventory or stock details?

Not yet. It sends accounting vouchers. Stock movements go to a Stock in Hand (AawazAI) ledger because Tally's own Stock-in-Hand ledger takes no vouchers.

Will an entry ever reach Tally twice?

No. Each voucher has one stable identity in Tally, and a resend after a disconnect is recognised and answered as reused. An entry in flight when you disconnect is marked unknown and checked against Tally before any resend.

Can my accountant still work in Tally?

Yes, that is the point. The rule is to make entries in AawazAI rather than typing them in Tally, and a nightly check flags entries changed in Tally. Matching a receipt to its bill in Tally stays the accountant's step.

Does this file my GST?

No. AawazAI prepares what your CA files from. The Tally sync only sends your entries to your own Tally company.
