The ₹6.84 lakh bill that waits 45 days: running a distributor's books

A distributor lives on three clocks: the truck that must leave with an e-way bill, the buyer's 45 days of credit, and the CA's deadline on the 9th. AawazAI bills at keyboard speed, works out IGST on inter-state sales, keeps the ageing, and hands your CA the documents.

The short version

  • An inter-state bill gets IGST, and a consignment above ₹50,000 gets an e-way bill from the same chat.
  • Sales orders and salesman tracking come with the wholesale setup, so you know who sold what.
  • Credit days sit on the bill, so the ageing shows 0 to 30, 31 to 45 and overdue without a spreadsheet.
  • Billing is keyboard-fast: Enter picks the saved party, Alt keys pick the payment mode, v starts Talk.
  • Your CA gets the CA pack. AawazAI prepares it and never files GST.

Three clocks, one back office

The salesman phones in an order from a dealer in Surat at 5 pm. A clerk keys it in after dinner. The truck is waiting, the e-way bill is not made, and the dealer's last invoice is 52 days old. By the 9th of the month your CA wants the sale register, and half of it is in a notebook.

None of this is hard accounting. It is three deadlines running at once with nobody holding the whole picture. A distributor does not need more screens. It needs one place where an order becomes a bill, the bill becomes a receivable, and the receivable becomes a CA document.

One inter-state bill, start to finish

A Delhi distributor sells TMT bars to a dealer in Surat. You say: "Patel Steels ko 10 ton TMT, 58,000 per ton, 45 din ka credit." A GSTIN you have saved fills in the registered name with no portal call (the sample here is 24ABCDE1234F1Z5). The buyer is in Gujarat and you are in Delhi, so the app applies IGST, not CGST and SGST.

LineAmount
10 tonnes TMT bars at ₹58,000₹5,80,000
IGST at 18%₹1,04,400
Bill total, due in 45 days₹6,84,400

The card says Not saved yet until you confirm it. The tax on the card is worked out by the same code that saves the bill, so the preview and the books cannot disagree. The consignment is above ₹50,000, so you generate the e-way bill from the same chat and update the vehicle if the truck changes; the e-way bill rules explain validity. E-invoice and e-way bill portal calls use credits, while the bill itself is free. For why this one is IGST, read place of supply.

Credit days and the ageing you can read

Credit days live on the bill, so every receivable has a due date from the moment it exists. "Customers owe you" groups the money by age:

AgeAmount (example)What to do
0 to 30 days₹18,40,000Normal trade credit
31 to 45 days₹9,60,000Reminder this week
46 to 60 days₹4,20,000Salesman visits
Over 60 days₹3,10,000Hold fresh orders

₹35 lakh outstanding tells you little. ₹3.1 lakh past 60 days tells you whom to call today. Open any party and every bill and payment behind the balance is there to send as a statement. "You owe suppliers" works the same way, so you see what is due out as well as what is due in. More on collecting in udhaar that comes back.

Billing at the speed of a keyboard

Counter staff who grew up on Tally do not want to reach for the mouse. The bill form is built for the keyboard: Enter picks the saved party, Alt 1, 2 and 3 and Alt 5 to 8 pick the payment mode, and the v key starts Talk if you would rather speak. On a phone, a bill line takes two rows, with MRP, scheme and portion tucked under "More". One discount works the same in the bill, a sales order, a purchase and a correction. Where MRP applies, a sale above it is refused. Stock follows every bill across your godowns.

A billing-staff login can be limited to its own branch, and your CA gets a read-only login.

What changes in your first week

  • Day 1. Choose Wholesale at sign-up and import your party and item lists from Vyapar, Excel or Bahi-Khata. Every row is previewed first.
  • Day 2. Bill three real orders, one of them inter-state. Compare the IGST with your last manual bill.
  • Day 3. Add your billing staff and invite your CA.
  • Day 7. Read the ageing, pick the three oldest parties, and send each a statement. Hand over the CA pack on the 9th.

The loss that comes from waiting is a quiet one: credit you could not see, an e-way bill made late, a register rebuilt by hand. See the business types and the GST page. Keeping the books costs nothing, as the pricing page explains.

Bill your next inter-state order

Pick Wholesale at sign-up, say one order, and see the IGST, the credit days and the card before anything is saved.
