General information, not professional advice. GST rules and portal requirements change. Check the current requirement on the GST Portal or with your CA before you act on anything here.
Document requirements for GST registration depend on three things: the constitution of your business, who owns the premises you are registering, and who is signing the application. Almost every delay comes from one of those three, not from the form itself.
This checklist covers what to keep ready for each, in the order the application asks for it.
The quick checklist
Keep these ready before you open the portal, where they apply to you:
- PAN of the business, or of the proprietor for a proprietorship
- Aadhaar and identity details of the promoters, partners, directors or authorised signatory
- Passport-size photographs of the relevant people
- Proof of the principal place of business
- Proof for each additional place of business, if you have any
- Your constitution document: partnership deed, certificate of incorporation, LLP agreement, trust deed and so on
- An authorisation letter or board resolution for the authorised signatory, where the signatory is not the proprietor or a director
- Bank details, which you can usually add after registration
- An active mobile number and email address for OTP authentication
A proprietorship, a partnership, an LLP, a company and a trust do not need the same set, so build your list from your constitution rather than from a generic one.
1. PAN and identity
PAN is the spine of the application. A proprietorship registers on the proprietor's PAN; every other entity registers on the entity's own PAN. The application then collects details of the promoters, partners, directors and the authorised signatory, depending on your constitution.
Have the PAN and Aadhaar details of those people to hand before you start, particularly where Aadhaar authentication applies to them. Names should be entered exactly as they appear on the documents, because a mismatch between PAN and Aadhaar is one of the more common reasons authentication fails.
2. Photographs
Recent passport-size photographs may be needed for the proprietor, partners, directors, the authorised signatory, or trustees and office bearers, depending on the entity. Keep clear files in the format and size the portal accepts, so you are not cropping images at the upload step.
3. Proof of the principal place of business
This is the part of the application that generates the most queries. The principal place of business is where the business actually operates and where its books and records are kept, and the document you need depends on how you hold the premises.
If you own the property
A latest property tax receipt, a municipal khata copy or an electricity bill. The portal itself lists these as examples of acceptable proof.
If the property is rented or leased
The rent or lease agreement, plus a document establishing the owner's title to the premises, such as a property tax receipt, khata copy or electricity bill in the owner's name. The pair is what matters: the agreement links you to the premises, and the owner's document links the premises to a real property record.
If you use someone else's premises
Businesses run from a family member's property or from shared premises usually need a consent letter from the owner along with the owner's property proof.
Check the address twice. Compare the address you typed into the portal with the address printed on your proof, character by character: building number, floor, locality spelling, PIN code. A difference that looks trivial to you is a clarification notice to an officer.
4. Additional places of business
Branch offices, warehouses, extra shops and any other premises you operate from are declared as additional places of business, each with proof appropriate to how you hold it. Keeping one folder per location, with its ownership or rent document and address proof together, saves a lot of searching later, and it is the same structure you will want when you add a second GSTIN or a godown to your books.
5. Constitution documents by business type
| Business type | Commonly required documents |
|---|---|
| Proprietorship | Proprietor's PAN, Aadhaar and identity details, photograph, premises proof |
| Partnership firm | Firm PAN, partnership deed, partner PAN and identity details, photographs, premises proof, authorisation for the signatory |
| LLP | LLP PAN, LLP agreement, certificate of incorporation, designated partner details, premises proof, authorisation |
| Company | Company PAN, certificate of incorporation, MOA and AOA, director and signatory details, premises proof, board resolution |
| Trust or society | Entity PAN, registration certificate or trust deed, trustee or office-bearer details, premises proof, authorisation |
| Other entities | Depends on the constitution and the registration category |
Treat this as a starting list. The portal asks for what your specific constitution requires, and that is the version that counts.
6. Authorisation
If the person filling in the application is not the proprietor, a partner or a director, the portal needs to see who authorised them. Depending on the entity that is a letter of authorisation, a board resolution, a resolution of the managing committee, or a partner authorisation. The question it answers is simple: who may act for this business?
7. Bank account details
This one causes unnecessary worry. Bank details are not required to submit the registration application. The portal treats the bank-account section as optional at registration and lets you add the details later through the amendment process, so a business bank account that has not been opened yet is not a reason to postpone applying.
Once you are registered, keep a bank statement, passbook page or cancelled cheque ready and update your GST record when the account is open.
8. Mobile number and email
The portal authenticates and communicates through OTPs, so before you start, confirm that the mobile number is active, the mailbox is reachable, OTPs are arriving, and the authorised person is available while you complete the application. This is the cheapest step to get right and the most annoying to get wrong halfway through.
Home, rented and co-working addresses
Running the business from home
You do not need a commercial office. A residential address works when it is genuinely the business location and you can prove the premises. If the flat is in a parent's name, you will usually need their consent letter along with their property proof.
A rented office
Before you apply, check that the agreement is readable, the address on it matches what you are declaring, the parties' names are correct, and you have the owner's property document. Scan the whole agreement, not only the signature page.
Co-working and shared space
Ask the operator what they provide for GST registration, and ask early. A desk booking receipt on its own is often not enough; what you need is an agreement or consent that establishes your right to use the address, plus the supporting property proof the operator can give you.
Aadhaar authentication and DSC
Aadhaar authentication applies to the relevant people for your constitution, so before you start make sure they have their Aadhaar details, access to the linked mobile number, the ability to complete the OTP or e-KYC step, and names entered exactly as recorded. Where authentication cannot be completed, the portal provides an alternative verification route.
On digital signatures: companies and LLPs have specific DSC requirements for GST submissions, while other taxpayers may use the other methods available. Identify your constitution first, then check what the portal asks of it. Buying a DSC because a checklist mentioned one is a common waste.
How to organise the file before you apply
Having the documents is half the job. Finding them at the upload step is the other half. One folder, five subfolders:
- PAN and identity: PAN, Aadhaar, photographs
- Constitution: partnership deed, incorporation certificate, MOA and AOA, trust deed
- Address: ownership proof, rent agreement, electricity bill, consent letter, additional-place documents
- Authorisation: board resolution, authorisation letter, partner resolution
- Banking: statement, passbook, cancelled cheque
The same folder is what you send your CA, which is the second reason to build it properly.
Six mistakes that cause queries
- An unclear scan. The information is there, but the officer cannot read it. Use a flat, well-lit scan rather than an angled photo.
- An address that does not match the proof. The single most common cause of clarification notices.
- Missing authorisation. Someone else is signing, and nothing in the file says they may.
- The wrong entity document. A partnership deed is not a substitute for incorporation documents.
- Assuming one checklist fits every business. A proprietor, an LLP and a trust genuinely differ.
- Treating a blog as the authority. Including this one. Procedures change; the portal is the reference.
What happens after registration
The broad flow is: start the registration, generate a TRN, complete the application, upload the documents, complete authentication, submit, receive an ARN, then track it. If the officer asks for clarification, reply through the portal within the period stated. Once approved, download the registration certificate from the portal.
Then the actual work starts. A GSTIN means every sale needs the right document, every purchase bill needs keeping, and every month needs numbers your CA can file from. That is bookkeeping, and it is worth setting up on day one rather than in the week before your first return.
In the AawazAI app, adding your GSTIN in Settings is what switches billing on: the app then issues a tax invoice rather than a cash memo, applies CGST and SGST or IGST from the place of supply, pulls HSN or SAC and the rate from your catalogue, and keeps the month's numbers ready as GSTR-1, GSTR-3B and GSTR-9 summaries for your CA. You say the sale, check the card and confirm it. If you have not registered yet, the app works the same way without GST and starts issuing tax invoices the day you add the GSTIN.
Useful next reads: which GST bill you should issue, what your CA needs from you every month, and the HSN and GST rate finder for the codes your invoices will carry.
Registered, and now you have to keep books
AawazAI records sales, purchases, expenses and udhaar from a sentence you speak or type, issues the right GST document, and hands your CA the GSTR-1 JSON and the 3B summary at month end. Free to start, no password, no accounting knowledge needed.
Frequently asked questions
What documents are required for GST registration in India?
In most cases: PAN of the business or proprietor; Aadhaar and identity details of the promoters, partners, directors or authorised signatory; passport-size photographs; proof of the principal place of business; proof for any additional places of business; the constitution document for your entity type (partnership deed, certificate of incorporation, LLP agreement, trust deed); an authorisation letter or board resolution where the applicant is not the proprietor or a director; and an active mobile number and email address. Bank details can usually be added later. The exact list depends on your business constitution, so confirm it on the GST Portal for your application.
Can I register for GST from my home address?
Yes. A residential address can be the principal place of business when that is genuinely where the business operates and you can supply proof for the premises. If the property belongs to a parent or another family member, a consent letter along with the owner's property proof is usually what establishes your right to use it.
Is a bank account mandatory for GST registration?
Not at the application stage. The GST Portal treats the bank-account section as optional during registration and lets you furnish the details later through the amendment process. Keep a bank statement, passbook page or cancelled cheque ready for when you do add them.
What proof of address is accepted for GST registration?
It depends on how you hold the premises. Owned: a latest property tax receipt, municipal khata copy or electricity bill. Rented or leased: the rent or lease agreement together with the owner's property proof. Someone else's premises: a consent letter with the owner's property proof. The documents need to connect the business to the exact address you type into the application.
Do I need a Digital Signature Certificate for GST registration?
Companies and LLPs have specific digital-signature requirements for GST submissions. Other taxpayers can generally use the other authentication methods the portal offers. Check what your constitution requires before buying a DSC on the strength of a generic checklist.
How long does GST registration take?
After you submit the application you get an ARN and can track it on the portal. The timeline depends on whether Aadhaar authentication succeeded and whether the officer asks for clarification. Respond to any notice through the portal within the stated period; delays are usually caused by unclear documents or an address that does not match the proof.
Does AawazAI register my business for GST?
No. AawazAI is a bookkeeping and GST billing app, not a registration service. Registration is done on the GST Portal by you or your CA. Once your GSTIN is active, AawazAI uses it to issue the right kind of bill and to prepare the GST summaries your CA needs.
